Kaltio Rent Oy - Privacy Notice

This Privacy Notice applies to the processing of personal data in connection with vehicle rentals by Kaltio Rent Oy. It is provided to the customer before the rental agreement is entered into or, at the latest, when personal data is collected.

2.Personal data we process
We may process the name, contact and identification details of the Renter and additional drivers, date of birth or personal identity code where necessary, Business ID, identity document details, driving entitlement and driving licence information, rental agreement and vehicle information, payment and invoicing data, communications, vehicle condition photographs and inspection information, and information relating to damage, insurance matters, fines, parking charges, vehicle return and debt collection. A photograph of a driving licence or identity document is taken only where necessary and where the purpose cannot reasonably be achieved by processing less personal data.
3.Purposes and legal bases of processing
Personal data is processed to enter into and perform the rental agreement, verify identity and driving entitlement, manage handover and return of the vehicle, invoice and collect payments, communicate with customers and investigate damage, insurance and dispute matters. In these situations, processing is primarily based on performance of the agreement or steps taken before entering into it. Data is also processed to comply with legal obligations, including accounting and authority-related obligations. In addition, Kaltio Rent Oy may process necessary data on the basis of its legitimate interests in protecting its property, preventing misuse, collecting receivables and establishing, exercising or defending legal claims.
4.Sources of personal data
Personal data is obtained primarily from the Renter and additional drivers. Where necessary, information may also be obtained from authorities, insurance companies, parking control companies, collection agencies, repair shops, towing or roadside-assistance providers, or another party involved in the rental, an incident or the investigation of a receivable.
5.Recipients of personal data
Personal data is disclosed or made available for processing only to the extent necessary. Recipients may include authorities, insurance companies, parking control companies, collection agencies, repair shops, towing and roadside-assistance providers, and payment, accounting, IT, cloud, communications and other service providers used by Kaltio Rent Oy. Service providers process data in accordance with their agreements and applicable data protection law.
6.Transfers outside the European Economic Area
If a service provider used by Kaltio Rent Oy processes personal data outside the European Economic Area, the transfer will be carried out in accordance with applicable data protection law, for example on the basis of a European Commission adequacy decision or appropriate safeguards such as standard contractual clauses. 7.Retention periods
Photographs taken of a driving licence and/or identity document will be deleted no later than six (6) months after the rental agreement has ended, unless an ongoing investigation relating to payments, damage, collection, breach of contract, authority matters or other rights or obligations arising from the agreement requires longer retention. Other personal data is retained only for as long as necessary for the rental agreement, payments, damage and insurance matters, potential legal claims and statutory accounting or other obligations.
8.Your rights
Subject to applicable law, you have the right to access your personal data and request correction of inaccurate data. Depending on the circumstances, you may also have the right to request erasure or restriction of processing, object to processing based on legitimate interests and receive personal data you have provided in a portable format where the legal requirements are met. Requests can be sent to info@kaltiorent.fi. Kaltio Rent Oy may request additional information reasonably necessary to verify the identity of the person making the request.
9.Supervisory authority and automated decision-making
You have the right to lodge a complaint with the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi) if you consider that the processing of your personal data infringes data protection law. Kaltio Rent Oy does not use the personal data described in this notice for automated individual decision-making or profiling that produces legal effects or similarly significant effects on you.
10.Whether providing data is necessary
Entering into a rental agreement requires the personal data necessary to identify the customer, verify driving entitlement and manage the agreement, payments and handover of the vehicle. If the required information is not provided, Kaltio Rent Oy may be unable to enter into the rental agreement or hand over the vehicle.
