Terms & conditions
Clear terms before you drive.
The main rental terms are arranged here in a clearer structure so the practical obligations are easier to review before signing.
01 / Rental & payment
How payment, mileage and cancellation before handover work.
Rental payment
Rent is paid monthly in advance. The first month's rent must be paid before the vehicle is handed over. Later payments follow the monthly due date agreed in the rental agreement.
Unlimited mileage
The rental includes unlimited mileage. Unlimited mileage does not override the prohibited-use restrictions, permitted area of use or other obligations in the rental agreement and terms.
Cancellation before handover
At least 7 days
If the renter cancels in writing at least 7 days before the agreed handover, paid rent is refunded.
Less than 7 days
If the renter cancels in writing less than 7 days before the agreed handover, Kaltio Rent may retain up to an amount equal to one month's rent to cover reservation, preparation and lost-rental costs.
Written agreements
For these rental terms, an agreement or notice made in writing may be a verifiable signed document, email, text message or WhatsApp message.
02 / Driver & use
Who may drive and what careful everyday use requires.
Who can drive the car?
The vehicle may be driven by the renter. Additional drivers must be agreed with and notified to Kaltio Rent in writing before they drive, and the additional-driver service is required.
All drivers must be at least 18 years old, hold a valid category B driving licence and have sufficient driving skill for the conditions. The renter remains responsible for the use of the vehicle by additional drivers.
The additional-driver service costs €50 / rental period for 1 person or €100 / rental period for 2–5 persons.
Winter use requires care
Northern conditions require careful use of the vehicle. Engine pre-heating is mandatory whenever the outside temperature is -10 °C or colder.
The renter must also keep windows, lights and mirrors clear of snow and ice, monitor tyre condition and tyre pressure in an ordinary way, and notify Kaltio Rent without delay if warning lights, unusual noises, faults or other problems appear.
03 / Car & responsibility
What to expect from the vehicle and its everyday condition.
Practical utility cars
Kaltio Rent cars are practical utility vehicles for real northern use. They may be older and/or high-mileage vehicles, and the affordable rental price reflects the age, mileage and intended use of the vehicle.
At handover, each vehicle is legally roadworthy, has a valid roadworthiness inspection and is suitable for ordinary road use. The cars are not promised to be new or nearly new.
Normal age- or mileage-related wear, cosmetic defects, minor faults, sounds or comfort-feature shortcomings do not by themselves entitle the renter to a refund or cancellation if the vehicle remains safe, legal and suitable for ordinary road use.
Fuel, cleaning, smoking and animals
The vehicle must be returned with a full fuel tank unless otherwise agreed in writing.
The car must be returned cleaned in an ordinary manner and in the same condition as at handover, taking normal use and wear into account.
Smoking in the vehicle is always prohibited.
Animal transport is allowed only when agreed in writing as an additional service. The service costs €50 / rental period. The renter remains responsible for damage or unusual cleaning costs caused by animals.
Clear responsibility
Simple terms. Clear responsibility.
Clear expectations help both the renter and Kaltio Rent understand what applies before the car is handed over.
04 / Damage & costs
How faults, damage, liability and separate charges are handled.
Insurance, damage and liability
Vehicle liability
The renter's liability for the vehicle itself and its vehicle parts is limited to the vehicle-specific maximum liability amount stated on the front page of the individual rental agreement, per incident. There is no universal fixed deductible or liability amount.
Insurance-covered damage
Insurance-covered damage may have a separate vehicle-specific customer responsibility amount. These final amounts are stated in the individual rental agreement.
Separate charges
The vehicle-specific maximum liability does not cover every separate charge. Unpaid rent, fines, parking charges, road tolls, keys, accessories, fuel, cleaning, late return, recovery, transfer, investigation, collection costs and similar charges may be charged separately under the rental terms.
Faults, damage and roadside situations
Report without delay
Faults, damage, warning lights, lost keys, thefts, fines and other exceptional events must be reported to Kaltio Rent without delay.
Repairs and towing
The renter may not repair the vehicle, buy parts, order towing at Kaltio Rent's expense or make changes to the vehicle without prior permission, except for necessary emergency measures to prevent further damage or ensure road safety.
Technical fault
If a technical fault attributable to Kaltio Rent makes the vehicle unusable, Kaltio Rent is responsible for investigating and repairing the fault. Rent is refunded for the unusable days, calculated from the monthly rent on a daily basis. A replacement vehicle is not guaranteed, and Kaltio Rent is not responsible for indirect customer costs such as taxis, accommodation or lost working time.
Fixed return and use charges
Missing fuel
Missing fuel is charged at €3 / litre plus a €50 refuelling charge. Where necessary, refuelling-related work is charged at €80 / hour and mileage compensation at €1.10 / km.
Smoking
Smoking is always prohibited. The minimum charge is €250 plus actual and reasonable additional costs.
Animals without permission
Animal transport without agreed permission has a minimum charge of €250 plus actual and reasonable additional costs.
Special cleaning
Special cleaning is charged at actual and reasonable cleaning costs, with a minimum charge of €250 when special cleaning is required.
Late return
Late return is charged at €80 for each started day, plus actual and reasonable recovery, transfer, investigation and collection costs where applicable.
Keys, accessories and third-party charges
Keys and accessories
Lost, broken or unreturned keys and accessories may be charged according to actual and reasonable costs. These charges are separate from the vehicle-specific maximum liability.
Fines and similar charges
The renter is responsible for fines, parking charges, road tolls and similar charges caused during the rental.
05 / Return & changes
What applies when plans change and the vehicle is returned.
Rental period and changes
The agreement is fixed-term. The renter may terminate it before the agreed end date by giving one month's written notice. Rent remains payable throughout the notice period.
Returning the vehicle before the notice period ends does not create a refund for rent already paid for that notice period.
Any extension must be agreed in writing before the agreed end date.
Return of the vehicle
The vehicle must be returned on the agreed return date, at the agreed time and according to Kaltio Rent's return instructions.
The renter's responsibility for the vehicle, keys and accessories begins when the vehicle is handed over and ends only when they have been returned in the agreed manner.
Unless otherwise agreed in writing, the vehicle must be returned with a full fuel tank, cleaned in an ordinary manner and with all keys and accessories. Smoking is prohibited, and animals are allowed only when agreed as an additional service.
Late return, missing fuel, special cleaning, smoking, unauthorised animal transport, lost keys, missing accessories or damage detected at return may lead to the separate charges stated in these terms.
06 / Foreign use
Where the vehicle may be used and what requires permission.
Area of use and cross-border trips
The vehicle may be used in Finland without separate cross-border permission.
Driving abroad always requires Kaltio Rent's prior written permission. The permit applies only to the countries specifically agreed. Taking the vehicle abroad without permission is a material breach of the rental agreement.
The cross-border permit costs €50 / rental period. Norway, Sweden or any other foreign country is not automatically included in the normal rental price.
